Who we are

Smith & Square, the trading name of Ezra Smith, a sole trader (ABN 68 759 921 573) in Perth WA. Email hello@smithandsquare.com.au or call 0480 344 478.

What we collect

• Your contact details: name, agency, email and phone.
• The files and property details you send: address, sketches, plans and photos. These can include an owner’s name, so please cover it if you can.
• Your logo and brand details.

Why

To draw and deliver your plans, invoice you, and contact you about your orders.

Where it’s kept

• Website uploads: our cloud provider, Cloudflare.
• Emails and texts: our email provider (Apple iCloud) and phone.
• Ezra’s computer, where the plans are drawn.
• Our software providers, which process the files to draw each plan.

Some of these providers store or process data overseas, including in the USA.

How long

• Files you send, and the working copies we make from them: deleted 12 months after the job.
• Finished plans: kept so we can fix or update them for you later. Ask and we’ll delete them.
• Invoices: kept for 5 years, for tax.

Sharing

Only with the service providers we need to run the business (above). We never sell your data or use it to build marketing lists.

Our website

• No ads, analytics or tracking, and no cookies of our own.
• The order form uses Cloudflare’s security check to stop spam. Cloudflare sees your IP address and browser details for that check.
• Your IP address is also used to stop too many orders at once. We don’t store it.
• After you order, your contact details stay in that browser tab, so “Order another property” can fill them in. They’re gone when you close the tab.

Access and correction

Email us to see or correct what we hold about you, or to ask us to delete it. We’ll reply within 30 days.

Complaints

Email us first. If you’re not happy with our answer, you can contact the Office of the Australian Information Commissioner at oaic.gov.au.
